OUR BRAINS ARE COMPUTERS NOT HARD DRIVES!

They are very good at coming up with ideas and very very super bad at remembering/holding onto ideas.

The topic of Getting Things Done came up this week. I've been a fan for almost twenty years now, and have helped various clients and friends try out the basics.

This evening I mentioned The Secret Weapon, thesecretweapon.org/the-secret-weaā€¦, a powerful blending of #GTD with Evernote. šŸ†
The methodology is hardware and software agnostic, and I think that basic paper is the simplest way to learn it, but Evernote is a common and powerful, cross-platform tool.

TSW is an elegant implementation of GTD with the Evernote tools, for those who like @Evernote.
Evernote "tags" are a key element in TSW, thesecretweapon.org/the-secret-weaā€¦, and their choice of tags and labels is very well thought out.

If you use GTD elsewhere, that is still worth looking at.

Twice in my life Iā€™ve SUDDENLY started getting more work accomplished:

First was 2014 when I read #GTD and implemented it in @todoist.

Second was 2020 when I moved into my Tool for Thought (TfT) of choice, @RoamResearch.

Hereā€™s why I use a TfT as the spine of my work:
1. You have to explore a project before you can list its tasks

ā€”and thatā€™s far easier to do in your TfT than in a dedicated task app.

You have to know the territory before you draw up the map, and you can do BOTH in a TfT.
2. Itā€™s easier to timeblock clusters of related tasks

Some task apps allow this. But TfTs give you far more flexibility in how you structure those clusters.

My Agenda is the ā€œlast mileā€ from HAVING a list to EXECUTING it, and thatā€™s effortless in my TfT.

Some weeks ago, a client recommended me an app that is just insane.

It helps you to:

"Build a second brain for yourself"

It's called @logseq and today I created this thread to explain how it works.

You can connect your ideas and thoughts and make your knowledge base grow.

It's similar to Notion,

But in this case, Logseq creates a neural network represented as a graphic (as if it were a šŸ§ )
@logseq 2. It also works for task management

I switched from #GTD once I saw I was able to manage my tasks with Logseq.

Since I get the question a lot, hereā€™s my current (2022-03-31) #productivity workflow laid out in a thread.

I use @RoamResearch, but Tools for Thought (TfTs) in general are the magic ingredient. If you use @obsdmd, @logseq, @amplenote, etc., the concepts will translate. 1/
My system has five components:

Front End:
1. Agenda
2. Log
3. Inbox

Back End (essentially #GTD-driven)
4. Projects
5. Recurring Actions 2/
There are four front-end processes:

1. Choose your work (Agenda)
2. Track your work as you do it (Log)
3. Capture your ideas, tasks, projects, etc. (Inbox: Capture)
4. Connect what you capture to your system (Inbox: Processing) 3/

Thereā€™s a strong resonance here between @RoamResearch and #GTD.

One of the challenges people report with both is this:

šŸ‘‰ Itā€™s easy to get stuff IN, but not as easy to get stuff OUT.

The missing piece is a more intentional processā€”so you know where to look and when.
If you find yourself saying ā€œI donā€™t seem to review my notes enough,ā€ thatā€™s a point of friction in your system.

But friction is opportunity!

Explore WHY youā€™re not reviewing them. Is it the tool? Is it @RoamResearchā€™s fault?

Or do you need a workflow to prompt your reviews?
It is always possible that your answer is ā€œitā€™s the tool.ā€ And if thatā€™s the case, definitely change tools.

But thatā€™s not MY experience with @RoamResearch (or #GTD, for that matter).

Quality workflows transcend the tools you use to create them.

My #Productivity workflow is in @RoamResearch. Prior to that I did it in @todoist.

The PRINCIPLES of my workflow arenā€™t unique to Roam. Just the implementation.

Hereā€™s what I mean:
My system is a #GTD-style ā€œback endā€ with my Daily Cycle ā€œfront end.ā€

The Daily Cycle is this:

1. Choose my work

I select what I want to do on todayā€™s Agenda based on what surfaces from my (GTD) Projects and Recurring Tasks.

Then Iā€¦
2. Track my work as I do it

By working in a Log, I keep a record of my work and commit to one task at a timeā€”which keeps me focused.

3. Capture my ideas, tasks, projects, etc.

My Daily Cycle has tools to make sure no thoughts slip through the cracks.

How to not get bored with huge tasks? Break those to smaller ones. #GTD #buildinpublic
I am implementing undo and redo functionality. I need to define an undo command for every possible action in the app. Making that in one bunch is pretty monotone and can lead to errors. Moreā¬‡ļø
I created a list of all possible actions and now treat undoing every action as a separate small task. Now I can mix them with other tasks, still keeping track of what should be done for a big ā€œundoā€ story. ā¬‡ļø
Keeping tasks tiny diminishes another problem: context switching. Because there is not much context to switch with small tasks :) ā¬‡ļø

If you want to build effective workflows using Tools for Thought (@RoamResearch, @amplenote, @obsdmd, etc.), you have to get comfortable with Systematic Iteration.

ā€œAh, right, R.J.,ā€ you might say.

ā€¦and then add: ā€œBut what on earth does THAT mean?ā€
Iteration is a fundamental meta-processā€”meaning, itā€™s a process that underlies other processes.

Life itself relies on iteration, copying and changing our DNA to create the next generation.

Reliable workflows do the same: they revisit and refine material.

Examples:

Pass 1: Copy what you read, along with its metadata
P2: Re-word what you copied
P3: Connect what you re-worded to other knowledge
P4+: ā€œConverseā€ with your knowledge to develop further knowledge

I've been that failing plate spinnerā€”too many projects, too little time.

Productivity is attention, and we can only reliably attend to one thing at a time. The challenge is overcoming the fear that setting a plate down means you'll never get it spinning again.
